What we looked at

Every call in this brief was a real guest calling a real hotel and being answered by HelloShift’s AI voice agent, then scored by the platform’s automated call analysis. The front desk is really a switchboard

The single most common reason guests phone a hotel is to reach a person: the front desk, a specific staff member, or simply to confirm someone is there. The AI’s job is to triage. It answers what it can, takes a message when staff are unavailable, and routes the rest. The result: only about 25% of calls needed a live human. The AI handled the other 75% on its own.

A quarter of calls come after hours

About 1 in 4 calls (25%) arrived outside typical 8am-to-6pm front-desk hours (and 19% outside even a generous 7am-to-7pm window). For any property without round-the-clock staffing, those are precisely the calls that get missed: late-arrival confirmations, last-minute booking questions, a guest who cannot get into their room. AI answers them at 2pm and at 2am alike.

What guests actually call about

We hand-reviewed a random sample of calls and tagged each by its single primary reason. Among the calls where a guest actually engaged, ordered by how often they came up:

  • ~27% want to reach a person: the front desk or a specific staff member
  • ~19% are in-stay requests: housekeeping, maintenance, room access
  • ~17% are servicing an existing reservation: confirmations, late arrivals, early check-in
  • ~14% are a new booking or availability question
  • ~14% are property questions: amenities, hours, pets, rates
  • ~4% are directions or transportation
  • ~4% are billing or payments

Reaching a person is the single most common reason guests call, but it is not the majority. Most of the time the AI is handling a concrete task: a late arrival, a housekeeping request, a pet-policy question, an availability check.

One honest note we will not dress up: roughly a quarter of all inbound calls never get this far. They are immediate hang-ups, wrong numbers, and pocket-dials, the noise floor of any phone line, plus a few guests who would simply rather not talk to an automated voice.

It is not magic, and that is the point

The AI resolved roughly 72% of calls on its own, as scored by the platform’s automated call analysis. Calls run short, about a minute on average. And yes, some guests ask “is this a real person?” and hang up. AI voice is best understood as staffing leverage and after-hours coverage, not a wholesale replacement for a warm front-desk greeting.

At a hotel, every missed call is a potential lost booking or a frustrated guest. The pattern in the data is consistent: AI now absorbs the repetitive, after-hours, and routing-heavy load that pulls front-desk staff away from guests in front of them, while still handing the human moments to humans.
